General Job Description
Account Service Managers (ASMs) coordinate and facilitate the successful completion of client projects from beginning to end by taking a proactive, service-oriented role in the management of their projects. They provide a vital link between Account Management, Creative, Finance, Production and Media, to help assure that projects are produced on time, within budget, and meet the agency’s high standards.
Responsibilities
The main job responsibilities include, but are not limited to:
- Project Management
- Building, maintaining and driving timelines
- Maintaining a status report, including timelines, and hosting team meetings as agreed to with the Account Supervisor
- Daily interaction with Account Management, Creative, Production, Media and vendors (where applicable) to assure that all projects are on time and on budget
- Responsible for the on-time completion of internal creative routes
- Maintaining an organized filing system for projects such that others can quickly find what they need in case of absence
- Scheduling and preparing for meetings
- Preparing and sending materials to clients
- Assisting the Production Manager and Media Director, as necessary, at their request
- Opening and closing jobs
- Financial Management
- Creating estimates with input from other teams, reviewing as necessary as project progresses
- Issuing POs and acquiring proper signatures to authorize vendor services
- Tracking receipt of invoices and processing immediately to bill jobs accurately and on time
- Review out-of-pocket expenses and billing, monthly, with the Account Supervisor
- Can-do attitude (i.e., being prepared to do whatever it takes to get a project completed on time and on budget)
- Organizational ability (i.e., always knowing where something is and organizing it in a logical structured nature, such that others can quickly follow it)
- Solution-oriented attitude (i.e., efficiently solving problems to the satisfaction of the client and the Account Supervisor)
- Attention to details (i.e., taking care of the whos, whats, whens and wheres for all projects)
- Client-image oriented (i.e., being concerned at all times that the client is happy, even if the requests inconvenience the agency)
- Anticipation/Proactivity (i.e., understanding the Account Management staff and the clients’ needs well enough to foresee possible problems, alerting the appropriate people to eliminate the situation in advance or to allow for proper preparation in order to tackle it)
- College degree or 2 years of agency-related or healthcare related experience communication, advertising or marketing degree
- Prior work experience in an agency environment
- Account service experience
- Good communication skills
- Outstanding attention-to-detail
- An ability to multitask
- An ability to function well in a fast-paced, dynamic environment
- Experience with Microsoft Word, Microsoft Excel and Microsoft PowerPoint
- Familiarity with FileMaker
