Role
The Finance Director will have hands on responsibility of managing the accounting records and the transaction processes of a mid size company engaged in the Marketing Communications and Medical Education business. Responsibilities will include:
- Monthly close and preparation of financial statements by the 15 day after close. Prepare Management Reports such as Project Time and Out of Pocket reports, Accounts Receivable Aging and Revenue Summaries as required by Management. Prepare monthly bank reconciliation and account analyses.
- Contract management including preparation of client billings in accordance with contracts and follow up with its collections on due dates.
- Manage purchase order and accounts payable processes by ensuring that invoices are coded, then paid and credit card transactions recorded following company internal control policy guidelines.
- Payroll preparation bi-weekly and management of payroll data base through ADP
- Manage historical files for client audit and provide client with copies of documents as required.
- Prepare yearly budgets, profit and loss scenarios and cash flow forecast to reflect changes in business dynamics.
- Administer the Employee 401K Savings Plan, Medical, Dental, Vision, Disability and Life Insurance Plans and maintain Employee records.
- Assessing software upgrade and enhancement needs inherent in a hi- growth environment.
- Periodic interface with Account Management, Creative and Studio departments to get updates on project status for billing purposes; and ensure that related accounting transactions and procedures are implemented to properly record transactions originating from the operating departments.
Education and Professional Skill Requirements
- BS Degree in Accounting and must have at least 7 years in the advertising or marketing communications industry.
- Recent experience in PC based General Ledger and Project Based Billing and Payable system is required.
- Start up and medium size office environment experience will have an advantage.
