Job’s Purpose
Our programs and services are intended to support healthcare companies by disseminating important information that may ultimately aid patients by offering healthcare providers continuing medical education on various disease states and medical treatment options available. The Project Manager is a key contributor to the business process of Program Development by planning, directing, and coordinating a cross-functional team’s activities to develop and implement accredited and promotional medical education/communications projects/programs on time, on budget, to the customer’s satisfaction.
Responsibilities And Essential Duties include the following. Other duties may be assigned.
- Program Development (according to ACCME/CVE guidelines when appropriate)
- Reviewing the Scope of Work provided by Account Manager; seeking clarification to ensure understanding
- Reviewing the budget and ensuring understanding of each line item; seeking clarification from Business Development Manager as needed
- Administering and controlling the budget for the program
- Attending kick-off meeting with project team to initiate production of the program
- Leading the team in determining client requirements and translating requirements into operational plans
- Collaborating with team to create project timeline that will ensure client expectations are met
- Developing detailed baseline project plans; identifying project dependencies
- Communicating the timeline to the internal team and the client
- Ensuring adherence to the timeline; updating and communicating as needed
- Communicating priorities daily to team and functional manager
- Evaluating plan progress relative to the desired milestones and objectives; giving the project team early warning of anticipated difficulty in achieving goals and timelines
- Ensuring that decisions by the project team are consistent with overall development strategies
- Collaborating with CME provider and initiating completion of sponsorship agreement and other required components via Medical Services when appropriate
- Commissioning presenter(s) and developmental faculty in a time frame compliant with program timelines
- Securing faculty materials and managing the development of program content with faculty, accreditor, and internal team
- Tracking components
- Scheduling weekly status review meetings with client and project team members; setting the agenda, facilitating the discussion, and ensuring that accurate meeting minutes are distributed to team members
- Initiating and managing production of program materials with internal team/external vendors; ensuring internal and external routing/approval of all materials
- Being proactive in the development process, thinking ahead, and solving issues promptly when they arise
- Identifying and recommending contingency measures based on project timing and deliverables.
- Monitoring program performance to ensure grant deliverables are achieved
- Capturing scope changes during the development of the project; initiating change order to Business Development Manager
- Documenting scope changes in the Statement of Work and communicating them to the AM
- Preparing detailed weekly updates; forwarding to client and AM
- Scheduling conference calls and dry runs through Program Facilitation; recording calls as needed
- Coordinating universal mailing, broadcast faxing, and e-blast list purchase via assigned PM as required
- Coordinating with and managing IT department’s efforts in preparing multimedia programs and reporting options
- Managing schedule challenges with speakers; communicating to Account Managers, Program Facilitation, and client as necessary
- Managing faculty honoraria finances
- Maintaining adequate inventory requests from Production Coordinator to meet program attendee requirements; ensuring that Program Facilitation is aware of any shortages
- Training sales client sales force when necessary
- Giving positive feedback to team members when possible
- Maintaining project documentation
- Archiving project files
- Supporting Business Development
- Working with Account Management on project/program ideas, proposals, RFPs, contracts, estimates, and schedules
- Attending and contributing to planning meetings
- Preparing for and participating in client meetings as needed
- Serving as primary contact for clients during development and implementation of project
- Maintaining business relationship with clients through effective and professional project management
- Developing and maintaining personal relationships with clients through effective and professional project management
- Making AM aware of other potential business opportunities that you may have discussed with the client
- Making recommendations to the AM for additional business proposal ideas to the client based on your interactions and understating of their business

- Bachelor’s degree from four-year college or university and two- to four-years related experience and/or training; or equivalent combination of education and experience.
- Expertise in planning and creating project timelines
